PMS Room Charge Integration
Room charge integration is the feature that most distinguishes a hotel parking system from standard commercial parking. Rather than requiring hotel guests to pay at a parking pay station on exit, the system posts the parking fee directly to the guest's room folio through a connection to the property management system (PMS).
CloudEASE connects to the hotel PMS using standard integration protocols. When a hotel guest exits the parking facility, CloudEASE calculates the duration and applies the configured hotel guest rate — which may be complimentary for guests on qualifying packages, discounted, or a fixed daily rate. The charge is transmitted to the PMS and appears on the room account alongside other incidental charges. At checkout, the front desk presents one bill that includes parking. No separate parking receipt. No additional payment transaction for the guest.
Hotels that include complimentary parking in certain room packages configure a zero-charge rule in CloudEASE for those credential types. Guests on complimentary-parking packages exit the gate without any payment interaction. Guests without a qualifying package pay at the pay station or through PMS posting at the hotel guest rate. The system handles both automatically based on the credential presented at entry.
Valet Mode and Guest Validation
Valet mode in the Parking BOXX hotel system handles the complete valet workflow within CloudEASE. Valet attendants issue claim tickets using a Parking BOXX ticket dispenser when accepting a vehicle. Each claim ticket registers as an open transaction in CloudEASE. When the guest requests vehicle retrieval, the attendant processes the return and payment — room charge, card, or complimentary — through the system. Every step is logged for management review and revenue reconciliation.
Front desk validation allows hotel staff to issue parking credits to guests during check-in or upon request. A guest who arrives and receives a complimentary parking offer from the front desk is validated in CloudEASE by the agent without requiring the guest to interact with any parking equipment. The validation ties to their credential and applies at exit automatically.
Pre-authorization captures a parking hold on the guest's payment method at check-in. The hold amount is settled at checkout based on actual parking usage, or released if parking is complimentary. This approach is used by hotels that want to protect against unpaid parking without requiring guests to pay in advance before they know how long they will park.
